Position Summary

The Document Services Assistant is responsible for processing, sorting, and hand-delivering incoming and outgoing interdepartmental mail, US mail, and Document Services print work and deliveries to campus offices in a timely, cost-effective manner. The assistant also provides periodic backup to other department functions, including general bindery and copy center work and support for shipping and receiving.

Pay dates occur on the 7th and 22nd of each month.  If those dates fall on a weekend, the pay date occurs on the Friday prior to the 7th and 22nd. As an employee of the college, you are eligible for a comprehensive benefits package.



In the best interest of the College, only individuals who are residents of Maryland or one of the following states will be eligible for employment at the college: Delaware, Pennsylvania, Virginia, West Virginia or the District of Columbia. The college will annually review this restriction and, if appropriate, expand the list of states of employment eligibility.

Job Duties and Responsibilities

Pick up, sort and hand deliver interdepartmental mail, US mail, Document Services print work, copy paper, and other items to on-campus and off-campus offices. Deliver mail to the local Post Office each afternoon.

Collect and process outgoing mail and apply correct postage as determined by rules, policy, and judgment using automated postal meters.

Provide Copy Center coverage by completing minor incoming copy work, answering phones, and assisting walk-in customers.

Assist in the receipt, delivery, and shipping of UPS, Express Mail, and freight in the absence of the Shipping and Receiving Specialist.

Process bulk mailings using the USPS web portal and assist with delivery to the local Post Office.

Other duties as assigned by the Director of Document Services and the Mailroom Supervisor

Required Qualifications:

High school diploma or equivalent

Up to six months of relevant experience

Ability to transport heavy materials with or without reasonable accommodations.

Ability to work effectively and independently with minimal supervision under pressure and with attention to details and deadlines.

Ability to work tactfully with students, faculty, staff, and the public and respond to their questions and concerns.

Ability to read and interpret postal regulations and procedures.

A valid Maryland driver’s license and clean driving record are needed to operate college-owned vehicles.

Preferred Qualifications:

Prior work experience in a mail room setting.

Knowledge of current postal regulations.

Experience operating an automated postal meter.

Basic word processing and computer skills.
