Position Summary
The Instructional Coordinator in the School of Liberal Arts provides instructional and administrative support to the Dean of Liberal Arts, assistant deans, academic chairs, and coordinators on matters pertaining to faculty and instruction, course offerings and scheduling, college publications, teaching assignments and contracts, faculty teaching loads, preparation and maintenance of curricular and instructional documents, data analysis of enrollment trends, website updates, survey administration, and digital textbook management.

Pay dates occur on the 7th and 22nd of each month. If those dates fall on a weekend, the pay date occurs on the Friday prior to the 7th and 22nd. As an employee of the college, you are eligible for a comprehensive benefits package. .

Job Duties and Responsibilities
Build, analyze, organize, coordinate, enter and modify the development of the credit schedule of classes for submission to the Office of Records and Registration, including management of all phases of production. Evaluate and analyze with assistant deans scheduling effectiveness concerning times and locations as well as past enrollment trends and future administrative requests (i.e., 8-week classes, new locations, instructional modalities). Monitor and review program and course enrollments, identifying trends and recommendations for action to Dean and Assistant Deans.
Track ongoing registration in class sections to make sure class offerings are sufficient and assist with recommendations to assistant deans for additional offerings. Make informed and competent decisions to open new sections in the absence of the Dean and Assistant Deans. Review enrollments prior to the start of each session, make recommendations to the Dean and cancel any poorly enrolled class sections. Analyze, develop, implement, and support procedures for new academic initiatives.
Organize, coordinate, and modify all EPC (Committee on Educational Policies and Curriculum) proposals for the academic calendar year via Curriculum, tracking the progress of the documents through the final approval by the EPC Committee. Evaluate and review courses and programs of study documents to ensure currency of the program descriptions, course and program learning outcomes, course descriptions and course outlines. Review and edit (including additions, deletions and any other changes) via Acculog from EPC-approved changes for the College Catalog.
Track and compare faculty instructional and non-instructional loads and schedules (including items from other AACC activities) and any other assignments related to the contractual obligations of full-time faculty assigned to the School of Liberal Arts. Generate master load reports for Dean and assistant deans review. Prepare all faculty load reports, staffing analyses and enrollment reports as required by the Dean. Monitor all faculty teaching loads and assignments for ACA compliance.
Assign part-time and full-time faculty to courses and any non-instructional service approved by the Dean. Monitor and track part-time faculty lecturer rank, promotions, and teaching workload reports; communicate information with assistant deans. Oversee the processing and routing of all compensation documents for full-time and part-time faculty. Serve as primary contract for questions or issues about contracts and contract approvals.
Make decisions in absence of Dean and assistant deans for course cancellations and course additions. Coordinate with assistant deans and academic chairs new and adjusted lab fees for classes to ensure documentation is prepared by budgetary deadlines.
Provide Dean and assistant deans with enrollment management analysis and attendant activities, including data collection and organization to support ongoing analyses of courses and programs for program review and strategic planning. Conduct, analyze and report the results of student, employer and faculty surveys through Qualtrics as directed by the Dean. At the direction of the Dean, originate memoranda, letters and reports to be sent to assistant deans, faculty, administrators, vendors, etc.
Manage and track direct digital access (DDA) textbook orders for assigned departments; Enter DDA information into Colleague in collaboration with the Bookstore.
Serve as primary content manager for the School of Liberal Arts website. Update and maintain regularly and provide Dean and Assistant Deans (or their designees) with support.
In cooperation with the Office of Records and Registration, create appropriate course room assignments and ensure ADA-compliance and special requests. Research and resolve any room conflicts and discrepancies.
Collaborate with staff from other offices, e.g., Planning, Research, and Institutional Assessment, Strategic Communications, IIT, to support School of Liberal Arts initiatives and programming, including testing of Colleague procedures.
Required Qualifications:
Bachelor's degree or higher
Minimum of two years of experience in teaching, program/project management or program/project coordination or human resources required.
Proficiency in Microsoft Office Suite application (Outlook, Word, PowerPoint, Excel, Teams) and willingness and ability to adapt and learn new software.
Ability to make decisions and determinations on behalf of Dean and assistant deans in their absence. Excellent oral, written and interpersonal communication skills. Demonstrated ability to work collaboratively with others in a team setting and a strong commitment to providing excellent customer service.
Ability to work independently with attention to details and accuracy. Excellent organizational, problem-solving, conflict resolution and multi-tasking skills.
Willingness and ability to work a flexible schedule to accommodate the needs of the program as necessary, including occasional evening and weekend hours. Ability to deal professionally, tactfully and effectively with students, faculty, administrators, staff, and the public.
Preferred Qualifications:
Experience with Ellucian Colleague, Curriculum, and Acculog software highly desirable
Experience managing course schedules in a higher education setting highly desirable
Experience in a post-secondary setting, especially a comprehensive community college, strongly preferred.
