Position Summary

The Administrative Coordinator is responsible for the orderly and efficient delivery of services to the Assistant Dean, Academic Chairs, Faculty, Staff and Students in four departments: Accounting, Business, Economics, and Entrepreneurial Studies; and for providing customer service and coordination and implementation of routine operations and procedures in the office to ensure effectiveness. The Administrative Coordinator is also responsible for supporting activities related to special administrative projects assigned by the Dean, Administrative Assistant to the Dean, and/or Assistant Dean. The Administrative Coordinator will assist with budget preparation, review and reconciliation; procurement activities; marketing of Programs; event support; and pre-employment onboarding of new faculty and staff. A good working knowledge of MS Word and MS Excel is key to this position.

Job Duties and Responsibilities

Customer Service:
Respond to telephone and email inquiries and assist visitors; provide general information, and direct program-specific questions to the appropriate Academic Chair or Assistant Dean. Handle routine problems that occur in the course of daily operations; refer more serious problems to the appropriate. Academic Chair, Assistant Dean, Administrative Assistant to the Dean, or to the Dean.

ADMINISTRATIVE:
Provide administrative support to the Assistant Dean and Academic Chairs, including scheduling meetings, preparing expense reports, and other administrative duties as assigned. Provide administrative support to engaged learning events for Accounting, Business, Economics, and Entrepreneurial Studies.
Provide support to the Instructional Coordinator in matters relating to canceled classes and posting change of classroom notifications.
Handle enrollment, retention, and completion initiatives as described and assigned by the Assistant Dean or Dean. Complete requests made by departments. These include, but are not limited to: running special queries; research, compiling, and tracking data; creating spreadsheets to track students, courses, or scholarship applicants, designing processes, forms, and fliers for special events.
Post current events to the Careers Center building School monitors and college bulletin boards. Maintain content and timeliness of posts.
Develop, format, and maintain a complete divisional calendar of events for distribution and for posting in MS Outlook and on events bulletin board.
Design, clearly display, and maintain the content for the department bulletin boards
Ensure that the office support procedures, functions, and processes are handled efficiently and effectively. Maintain electronic & paper files related to school operations and administration, maintaining confidentiality of office information
and files as needed. Keep the office, files, and supplies organized, efficient, and functional, and maintain a professional looking office.
Ensure that the office procedures manual is up to date with relevant information.
Prepare and track Project Service Requests (PSRs) pertaining to office moves, new equipment purchases, and new hires.
Compose work order requests for faculty, staff, and assistant dean.
Process pre-employment paperwork for part-time faculty, temporary staff, and federal work-study students

SUPERVISORY
Coordinate and oversee the day to day supervision of Federal work-study students (if applicable) including training, coaching, planning daily tasks, approving time and attendance, and monitoring/appraising responsibilities.

BUDGETING
Assist Assistant Dean and Academic Chairs with budget management of all operating, grant and restricted budgets for their departments and grant-funded initiatives. Coordinate organization and maintenance of departmental budget accounts, including preparing and processing or overseeing the preparation and processing of requisitions, transferring funds, and assigning proper account information. Maintain budget account records, monitor accounts and report account balances to the Academic Chairs, Assistant Dean, Administrative Assistant to the Dean, and Dean. Prepare and maintain spreadsheets to provide internal tracking of budget lines. Assist the Assistant Dean and/or Administrative Assistant to the Dean in the preparation of budgets as requested.

Required Qualifications:

High School Diploma/GED

Minimum of two years of relevant experience

Excellent oral, written and interpersonal communication skills.

Ability to deal tactfully and effectively with students, faculty, administrators, government agencies, business/industry representatives, community organizations and the general public.

Ability to type accurately and use proficiently College standard software including spreadsheets, Excel, email, Internet, and student/management information systems software required.

Working knowledge of presentation, Canva and database software preferred. Ability to work with minimal direction and supervision with attention to details and deadlines.

Ability to work flexible hours on occasion to accommodate the needs of the Business Division office

Preferred Qualifications:

Supervisory and post-secondary institution experience preferred.
