Position Summary

The Coordinator is responsible for overseeing the continuing education course, program, and section creation processes to ensure alignment with Anne Arundel Community College (AACC) and Maryland Higher Education Commission (MHEC) regulations, policies, best practices, and processes. The Coordinator is also responsible for providing training, assistance, and consultation to department staff regarding these processes; managing course submission and review processes with MHEC through the CC-10; maintaining official records and documentation; preparing and submitting the annual State Funding CC-3 report; and liaising with MHEC staff regarding matters related to these responsibilities. Additionally, this position manages the administrative processes related to noncredit course and program creation, modification, and review. The Coordinator is responsible for supporting the Assistant Director in the day-to-day operations related to continuing education course and program support to departmental staff.

The Coordinator reports to the Assistant Director of Enrollment Strategies and Analytics in Continuing Education and Workforce Development (CEWD).

Job Duties and Responsibilities

PROGRAM DEVELOPMENT
Manage the course and program creation and modification processes and documentation, ensuring accuracy and compliance with AACC and MHEC standards. Work with department staff to ensure their proposal and modification documents accurately reflect the course or program as they were designed/developed. Provide structural proofreading of all courses and programs to ensure standards are maintained and program documentation is consistent across CEWD departments. Facilitate the workflows of these documents through internal and external review and approval processes. Update official course and program information in college systems after appropriate approvals have been received. Maintain all related records and documentation in a shared workspace for other staff to reference. Create, submit, and manage required documentation to external funding organizations as appropriate.

COMPLIANCE
Manage MHEC CC-10 submissions, UP-10 report processing, course inventory monitoring, and CC-3 creation and submission in accordance with MHEC regulations and guidelines. Ensure AACC's Continuing Education course and program creation and modification processes adhere to MHEC regulations and deadlines. Identify and recommend adjustments to course proposals to ensure alignment with MHEC and AACC guidelines. Liaise with the MHEC representative for continuing education to accurately manage AACC’s course inventory, completing the biennial review and regular pre-edit reports to ensure there are no issues with the annual CC-3 report. Coordinate the end-of-year processes that culminate in the creation of the CC-3 report, assist in validating the CC-3 data, facilitate the approval and signature processes, and submit the official report and data file to MHEC as prescribed.

COLLABORATION
Coordinate with the Assistant Director to stay updated on state policy, processes, and deadlines, and develop communication/training plans when changes arise. Collaborate with department staff to provide guidance and recommendations on course and program modifications and proposals. Train and support CEWD staff to ensure their understanding of course, program, and section creation and modification processes and best practices. Maintain training materials and resources related to these processes. Coordinate with other staff in Enrollment Strategies and Analytics to ensure print and web content are updated timely with new and modified courses and programs.

ENROLLMENT MANAGEMENT
Assist CEWD department staff with managing their course and program inventories to maximize funding from eligible courses in compliance with MHEC regulations. Facilitate the administrative processes supporting course, program and section management to ensure submissions are processed timely by the Section Support team to support recruitment and enrollment management.

STRATEGIC PLANNING
Provide summary and detail reports on course and program creation, deactivation, and modification as requested by department staff to assist with their strategic planning.

COURSE AND PROGRAM ASSESSMENT
Facilitate the audit of continuing education courses in alignment with AACC standards and Middle States best practices. Coordinate with college leadership and department staff to ensure course audits are completed on time. Assist department staff as needed in the course and program review process and document the result of each review in accordance with processes developed by CEWD leadership. Support the CEWD Curriculum Specialist with the administrative responsibilities related to Learning Outcomes Assessment and the related tracking system.

SECTION SERVICES / ADVANCED FUNCTIONS
Monitor and manage department service requests related to courses, programs and sections. Monitor workload within the Sections Services team to ensure deadlines are met and workflow is consistent across team members, assisting directly with Section Services as needed. Collaborate with the Assistant Director to monitor system integrations for issues and errors; triage integration errors related to courses and sections as prescribed by Department leadership. Regularly review open work requests to avoid delays and assist where needed.

Required Qualifications:

Bachelor's degree or higher

Minimum of three (3) years related experience managing educational programs or courses with an external regulatory compliance component, using an ERP/information management system like Colleague or Lifelong Learning Extended Education (aka Destiny One).

A minimum of at least two (2) years of required experience should include leading teams/projects experience, as well as the management and handling of confidential and sensitive information.

Demonstrated experience in ensuring data integrity.

Demonstrated experience in a fast-paced environment requiring decision-making and flexibility.

Ability to deal effectively and in partnership with diverse groups, including all levels of management, faculty, students, prospective students, and the general public.

Ability to work independently with minimal supervision, attention to detail, and meet deadlines.

Demonstrated experience learning and following mandated regulations, preferably related to higher education.

Excellent general technology skills and proficiency in PDF management and Microsoft Office Suite applications, especially with Outlook, Teams, Word, and Excel.

Excellent oral, written, and interpersonal communication skills, including proficiency in composition, editing, proofreading, punctuation, and grammar skills.

Demonstrated organizational skills, including prioritizing workloads and developing efficient workflow systems

Preferred Qualifications:

Experience with Lifelong Learning Extended Education (Destiny One).

Experience working with state regulations or processes, interacting directly with state agency regulations.
