Position Summary
This position provides administrative and office support to the Human Resources Department. Provides comprehensive administrative and operational support to the Human Resources Department, including calendar management for HR leadership, preparation and distribution of correspondence and reports, coordination of meetings and events, and daily management of the HR mailbox and general inquiries. Oversees office operations such as supply management, mail processing, visitor support, and maintenance of labor law postings. Manages financial and procurement activities, including purchase requisitions and invoice processing. HR systems and compliance functions, including I-9 and E-Verify processing, employment verifications, web content updates, institutional membership tracking, and coordination with the ethics commission.
Physical presence in the office is an essential function of this job. The employee must be able to remain in a stationary seated or standing position for long periods (up to 8 hours/day). Interact face-to-face with staff, clients, or visitors, access on-site hardware, files, or specialized equipment. Regular, reliable, and predictable attendance in the office is required to perform job duties.
Job Duties and Responsibilities
Manage calendars for the Executive Director and Directors, including scheduling appointments, preparing and distributing materials, and arranging travel, transportation, and lodging as needed.
Provide administrative support to the Human Resources Department, including composing, editing, and formatting correspondence, reports, and other official documents, as well as coordinating meetings and events.
Provide daily responses to general HR mailbox communications.
Respond to requests for information, directing callers to appropriate HR/college personnel and resources. Relay effective telephone and/or email messages in a timely manner.
Maintain office supplies and monitor inventory levels to support smooth and uninterrupted operations. Track and maintain an up-to-date list of institutional memberships and monitor associated expenses.
Create purchase requisitions and process invoice payments. Track expenses, maintain budget account records, monitor spending, prepare monthly financial reports, and submit invoices and payments in a timely manner.
Assist in the planning, coordination, and execution of special events, training, and programs organized by the Human Resources Department, including logistics coordination, room reservations, catering arrangements, materials preparation, and on-site support.
Support web content management and maintenance for the College’s HR Internet pages and internal Intranet pages. Contributes to the development and ongoing maintenance of a campus-wide compliance tracking system.
Maintain office printers, process incoming/outgoing mail.
Ensure all Labor Law posters are ordered, up-to-date, and out-of-state labor law posters are posted electronically on the intranet.
Greet and assist visitors, and maintain a professional, welcoming office environment.
Complete I-9s, assist with the E-Verify process, and complete verbal employment verifications. Notify appropriate employees of their obligation to file with the ethics commission and serve as the liaison to the ethics commission.
Required Qualifications:
High school diploma/GED
Minimum of two years of administrative office experience

Pay dates occur on the 7th and 22nd of each month. If those dates fall on a weekend, the pay date occurs on the Friday prior to the 7th and 22nd. As an employee of the college, you are eligible for a comprehensive benefits package.
